Quotes, invoices, deliveries

Supplier follow-ups
Off your plate

A quote that never comes, a missing invoice, a delivery to confirm. Say it once: your assistant writes to the supplier, follows up at the right time and brings back the answer. You keep only the decisions.

From request to reply

One supplier follow-up
From start to finish

  1. 01

    One sentence is enough

The supplier, their email address and what you need from them, typed or dictated. For example: confirm Thursday’s linen delivery with Blanchisserie Morel, and follow up if they do not answer.

New request: confirm Thursday's linen delivery with the supplier and follow up if they do not answer
  2. 02

    It writes to the supplier

It writes the email, sends it and watches for the reply. If something essential is missing, it first asks you one clear question instead of guessing.

A request at work: the email sent, a reply awaited, and the time of the next check
  3. 03

It follows up, then asks you

No reply in 24 hours? It follows up, politely. Still nothing after two follow-ups? It stops and asks you whether to wait or contact someone else.

No reply after two follow-ups: wait, or contact someone else?
  4. 04

The answer comes back to you

The outcome arrives in plain words, ready to share, with every step that led to it: Blanchisserie Morel confirmed the delivery for Thursday, from 07:00 to 09:00.

Request outcome: the supplier confirmed the delivery for Thursday, from 07:00 to 09:00

What your supplier receives

A clear email
A courteous follow-up

A quote request for a broken heating system, as your assistant sends it, then its follow-up when the supplier has not replied within 24 hours. Replies come straight back into the request.

Quote request: heating repair, room 4

Hello,

The heating in room 4 at Hôtel Solvane has stopped working. Could you send us a quote for the repair, and tell us when your technician could come this week?

This is a request for a quote only, not an order.

Kind regards,
Lorne & Vale

Follow-up: Quote request: heating repair, room 4

Hello,

I’m following up on the message below. Could you let us know where the request stands or when we can expect your reply?

Thank you.

Original message: Hello, The heating in room 4 at Hôtel Solvane has stopped working. Could you send us a quote for the repair, and tell us when your technician could come this week? This is a request for a quote only, not an order. Kind regards, Lorne & Vale

Here, your assistant makes clear it is a request for a quote, not an order. A purchase, a booking or a contract: it is built to leave that decision to you.

The right rhythm

Enough for an answer
Never too much

Simple rules you can read on one screen. Your assistant follows them for every request.

  • A follow-up after 24 hours

When the supplier has not replied, it follows up the next day, politely, with the original message below.

  • Two follow-ups, then your call

Still nothing after two follow-ups? It stops and asks you whether to wait or contact someone else.

  • Six emails at most

Never more than six emails over seven days for one request.

  • The right recipients

It writes only to the addresses in your request or in your answers.

  • Commitments go through you

A purchase, a booking or a contract: it is built to leave that decision to you.

  • Every step on the record

You see exactly what was sent, when and why, and nobody can quietly rewrite it.

Questions

Your questions about follow-ups

Who writes to my suppliers, and where do their replies go?

Your assistant writes to them through Lorne & Vale, on your behalf. Replies come straight back into the request, where you can follow every step.

How many follow-ups does it send?

A first follow-up when the supplier has not replied within 24 hours, then a second if the silence goes on. After two follow-ups with no reply, it stops and asks you whether to wait or contact someone else. Never more than six emails over seven days for one request.

Can it accept a quote or place an order?

Not without you. Spending, bookings and contracts always come back to you: it brings you the quote, and you decide.

Can I stop a follow-up halfway?

Yes. You can pause, resume or cancel any request at any time.

What does a supplier follow-up cost?

A task is one request handed over, from your first message to its outcome, with its questions and follow-ups. Team, at €249 a month, includes up to 100 tasks, which is €2.49 a task. The first 10 companies keep €149 a month for as long as they stay subscribed. See pricing.
